When you contact Emperor Roofing NE Ltd, you trust us with information about you and your property. This policy explains how we use it to answer your enquiry, arrange roofing work and provide aftercare. It also covers visits to emperorroofing.co.uk and your data-protection rights.
This notice covers customers, people making enquiries, property owners, tenants, occupants and relevant business contacts. Please get in touch if you would like us to explain anything.
1. Who We Are and How to Contact Us
We are Emperor Roofing NE Ltd, company number 14373976. We are the data controller for the personal information we decide to use in running our roofing business. In this notice, “we”, “us” and “our” mean Emperor Roofing NE Ltd.
2. What Information We Use
The information we need depends on what you ask us to do. For an initial enquiry, a way to contact you, the property location and a description of the roofing issue are usually enough to get started.

Please do not send passwords, full card or bank details, identity documents or unrelated medical information with a roofing enquiry. If we need a particular document, we will explain why.
3. Where We Get Information
Most information comes directly from you when you call, email, use our enquiry form, send photos or speak to our team. We also create relevant records when we inspect a roof, prepare a quote or carry out work.
Sometimes an authorised landlord, managing agent, insurer or other project contact gives us information needed to help you. Public review services may also provide a display name and review. Where we receive information about you indirectly, we provide the required privacy information within the applicable period—normally within one month, or earlier at our first communication or disclosure where required—unless a lawful exception applies.
If you share another person’s details, please make sure you are entitled to do so, share only what is needed and let them know about this notice.
4. Why We Use Information
Data-protection law requires a lawful basis for each use of personal information. The main purposes and bases are set out below. Where we rely on legitimate interests, we must balance the need for that use against your interests and rights.

If we propose a new use of your information, we will assess its basis and provide any further information or request for permission needed. Revising this policy does not itself give us your consent.
Our form, map and review feed load automatically. Necessary, proportionate technical delivery of those features can be based on legitimate interests in providing enquiry, location and customer-feedback facilities, subject to your rights. That basis does not replace any consent required for a provider’s non-exempt cookies or tracking. Handling an enquiry you submit has the service-related basis above.
5. What We Need to Help You
You do not have to use our online form. Call Peter or Robert, or email us if you prefer. Without enough contact, property and roofing information, we may not be able to arrange a visit, prepare a useful quote or identify records connected with your request.
Photos can help us understand a problem, but please only send relevant images taken safely. Payment and billing details may be needed once work is agreed. Refusing optional analytics, marketing or publicity does not prevent you from asking us about roofing work.
6. Sensitive Information and Children
We do not normally need sensitive personal information for a roofing enquiry. If you need an adjustment for a visit, tell us the practical arrangement that would help rather than sending a medical history.
If special-category information is genuinely necessary, we need both a lawful basis and an appropriate additional legal condition before using it. For example, explicit consent may be appropriate for an optional health-related adjustment, or a legal-claims condition may apply to a dispute.
Our website is intended for people arranging roofing services, not for children. Please avoid including children’s names or images, or other unrelated personal details. Tell us if you have sent something unnecessarily so we can consider removing it.
7. Photographs, Testimonials and Reviews
A photo you send to show us a leak is not automatic permission to use it in our advertising. We distinguish photos needed to assess or record your work from images used for optional publicity.
For optional publicity that identifies you or your property, we will explain what we want to publish and seek your permission. Please tell us about any occupants, number plates, house numbers or other details that should not be shown. You can withdraw that permission; we will explain what we can remove and any records we still need to keep for a separate lawful purpose.
We display customer reviews, including a live feed provided by Elfsight that loads automatically on pages containing it. Contact us about information on our website. To change the original review or profile on another platform, you may also need to contact that provider.
8. Service Messages and Marketing
Replying to your enquiry, arranging an inspection, sending your quote and keeping you informed about work or aftercare are service communications. They do not give us blanket permission to send unrelated promotions.
If we offer promotional emails or texts, we will ask for consent where required. The limited customer “soft opt-in” can only be used when its conditions are met, including our own similar services and an easy opt-out when details are collected and in each message. Different rules can apply to corporate subscribers, but named contacts still have data-protection rights.
You can tell us to stop direct marketing at any time. We will stop that use and retain only the minimum suppression information needed to respect your choice. You do not have to accept marketing to request roofing work.
9. Website Features and Your Analytics Choice
We use Jotform for our enquiry form, Elfsight for our live review feed and Google Maps for our map. These features load automatically where they appear. Their providers receive technical connection information and may use their own cookies or storage before you make an analytics choice.
Our own Google Analytics tag, G-VXYCYZL6RM, is separate. It stays off until you choose Accept. Choose Reject to keep it off, or use Cookie settings in the footer to change your mind. Those choices do not block the form, map or reviews.
When allowed, our tag measures visits and clicks on phone, email and quote links. Its custom click events include the page path and, for named phone links, whether Peter or Robert was selected. They do not contain your enquiry text, uploaded photographs or call audio, and do not confirm a completed enquiry.
Our tag disables Google Signals and advertising storage and personalisation. It does not load or send denied-consent measurement pings before your choice. This statement relates to our tag; it is not a claim that embedded providers make no other requests.
Withdrawing our Analytics permission stops its future use through our site and removes accessible first-party Analytics cookies. It cannot retrieve information already sent or erase an enquiry. Contact us about existing records or deletion so we can address your request and involve relevant providers where necessary. See our Cookie Policy for the controls and provider information.
10. Who Receives Information
We share information only where it is relevant to the purpose involved. Not every enquiry is sent to every recipient below.

Providers acting on our instructions need appropriate data-processing arrangements. A provider deciding its own purposes may be a separate controller. Linking to a provider’s notice does not remove our responsibilities for the services we choose.
11. Processing Outside the UK
Some providers operate internationally and may process information outside the UK, including in the United States. This can include hosting, support access and provider infrastructure; we do not promise that all information stays in the UK. Jotform, for example, describes US storage and an EU storage option in its own notice.
UK law requires a valid transfer arrangement where its restricted-transfer rules apply. Depending on the recipient and destination, that can be UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement or UK Addendum, with the required assessment. A provider’s general privacy page alone does not establish which arrangement applies to a particular account.
Please contact us for details of the recipients, locations and transfer safeguards relevant to your information, including how to obtain a copy or explanation of applicable safeguards. We will address your request with the relevant provider where needed.
12. How Long We Keep Information
We keep information for its purpose, not simply because storage is available. Where there is no single fixed period, we use the following criteria to decide when it should be removed or anonymised.

The accounting period is not a reason to keep every enquiry or website visit for six years. If we cannot delete a record when you ask, we will explain the lawful reason and consider whether unnecessary copies can still be removed.
13. Keeping Information Safe
Protecting your information means limiting access to the people who need it, using appropriate provider arrangements, taking care when sharing records and disposing of information securely. The measures needed depend on the information and the risks involved; no website or email system can be guaranteed completely secure.
If payment instructions change unexpectedly, call us on a known number before paying. Please tell us promptly if you think a message, photo or other record has reached the wrong person.
We assess suspected personal-data breaches and take the steps required by law. Where notification is required, this includes informing the ICO without undue delay and, where feasible, within 72 hours of awareness, and informing affected people without undue delay when the legal high-risk threshold is met.
14. Automated Decisions
This website does not automatically approve a roofing contract, decide your credit eligibility or make another legally or similarly significant decision about your enquiry. The Analytics and website controls described here are not a system for deciding whether you can have roofing work.
If you would like us to explain a decision about your enquiry or job, please speak to us. Any future use of significant automated decisions would need an appropriate assessment, safeguards and further privacy information.
15. Your Data-Protection Rights
Depending on the information and the reason we use it, your rights can include:

16. How to Make a Privacy Request
Contact us using the details in section 1 and tell us what you would like us to do. Your property address, approximate enquiry date and the contact details you used can help us find the right records. You do not need to quote GDPR or complete a special form.
We normally respond free of charge, without undue delay and within one month. The law allows an extension of up to two further months for qualifying complex or numerous requests; we will explain an extension within the initial period. Necessary identity checks, clarification, and any permitted fee or refusal are subject to legal conditions, which we will explain where relevant.
We may need to confirm a representative’s authority and protect information about other people. That can mean removing their details from a copy rather than releasing an entire document unchanged.
17. If You Have a Complaint
If you are unhappy about how we use or protect your information, email sales@emperorroofing.co.uk, call Peter or Robert, or write to our registered office. Tell us what happened, any relevant dates and what you would like us to put right.
We will acknowledge your data-protection complaint within 30 days, investigate without undue delay, keep you informed and explain the outcome. If your complaint also contains a privacy-rights request, we will address that within its applicable response period.
You can also complain to the Information Commissioner’s Office (ICO). Its helpline is 0303 123 1113 and its postal address is Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF. Contacting us first can help us resolve a problem, but does not remove your right to contact the regulator or seek another available remedy.
18. Other Websites and Updates
External websites have their own privacy information. Our embedded form, map and live review feed can also collect information when they load automatically. We remain responsible for the processing for which we are the controller.
